Exhibition venues such as Berlin, Frankfurt, Hannover, Munich, Cologne or Düsseldorf work with access regulations, check-in zones and booked time windows for build-up. Our dispatch team knows these processes and plans for them: slot booking or coordination with your stand builder, hall and stand number on the papers, driver with loading documents at check-in, buffers for waiting times at the unloading zone. The driver notifies before arrival so that your build-up team can take receipt at the hall.

We plan both journeys as a package – with interim storage of the empties by agreement and collection exactly in the dismantling slot, when the halls have to be cleared. For trade fair tours we time the onward journey to the next event, so the stand moves from hall to hall without a detour via the warehouse.

Overseas fairs and the ATA Carnet

For fairs outside the EU – for example in Türkiye, the Gulf states or North Africa – Speed Logistics handles the complete customs clearance. Stand construction and equipment for temporary use travel with an ATA Carnet, which secures re-importation without customs duties; consumables and give-aways are declared separately. Costs depend on volume, lane, slot binding and return – depending on lead time you receive a binding fixed price for the whole package.

How much lead time does a trade fair transport need?

For German exhibition venues, two to three working days' lead time is often enough with secured vehicle availability; for European destinations you should allow a week – especially in the peak phases of the fair season in spring and autumn, when slots at the halls become scarce. For overseas fairs with Carnet clearance, add time for the customs documents. Our advice from practice: commission the transport as soon as your build-up slot is confirmed, and report changes to us immediately – the dispatch team adjusts loading time and route. Interim storage of the empties during the fair period is possible by agreement. This way the material is ready in time for the next event or in the warehouse.

What is an ATA Carnet and when do I need it for trade fair material?

The ATA Carnet is a customs document for temporary export: with it, stands and equipment can be imported into and re-exported from non-EU countries duty-free. For fairs in Türkiye or the Gulf states, for example, Speed Logistics handles the transport including Carnet clearance. Consumables and give-aways are declared separately for regular clearance.

Can a forgotten case still be delivered during build-up?

Yes. For follow-up deliveries we schedule a Sprinter at short notice as an express run straight to the hall – the dispatch team is available around the clock. Hall, stand number and the build-up team's contact are enough; the driver handles check-in at the grounds. Just give us the fair, hall and stand number by phone.

Which vehicle sizes are common for trade fair materials?

Small shipments and technology cases travel in the Sprinter, medium stands in the 7.5- or 12-tonne truck with tail lift, complete large stands in the articulated lorry. We choose the vehicle by volume, weight and the unloading conditions at the exhibition hall. For large projects we combine several vehicles into a timed delivery.
