Sending event technology – on-time transport for stage, lighting and sound

You send event technology without a buffer, because the show starts on time – with or without your equipment: the core factor is delivery to the load-in slot, flight cases travel upright and secured as direct transport, and in the event of failures the 24/7 dispatch team collects express replenishment.

With event technology there is no buffer: the show starts at the announced time – with or without your equipment. Speed Logistics transports stage, lighting and sound technology as direct transport with a fixed time window: from the warehouse of the rental company or production service provider to the venue, between tour stops or back to the warehouse after dismantling.

Our dispatch team is personally available 24/7 – even when the load-in shifts, dismantling runs into the night or replacement material is missing at short notice. You receive the fixed-price offer within a few hours, and we drive Europe-wide and with customs clearance to non-EU countries too – to wherever the production takes place: arena, exhibition hall, open-air site or studio.

What equipment we move

  • Lighting technology – moving heads, dimmer racks and consoles in flight cases
  • Sound technology – line arrays, amp racks, monitors and microphone cases
  • Stage and rigging technology – trusses, motors, platforms and stage elements
  • Video and media technology – LED wall cases, projectors, control positions
  • Exhibition and event fit-out – stand-construction elements, furniture, decoration

From the Sprinter for the follow-up delivery of individual cases to the 40 t articulated lorry for the complete production, we assign the right vehicle – cases roll over the tail lift or the loading ramp of the hall. On request we handle combinations of technology, stand construction and decoration in one journey, so that only one vehicle has to be unloaded at the venue – this saves slot time and ramp capacity.

Time slot, load-in and dismantling logistics

We time the transport to your production schedule: delivery to the agreed load-in slot, coordinated with the hall management or stage manager, waiting time of the vehicle during short events by agreement, return collection straight after dismantling – at two in the morning too. For tours we chain the stops as a sequence of direct transports, so the material is at the next venue in the morning. Flight cases are loaded upright, secured with straps and load bars and roll through without transhipment – sensitive consoles and optics stay in the padded case. Your driver receives the contact, loading-point information and accreditation notes in advance, so the slot does not fail at the entrance.

Express replenishment in the event of failures

If an amp rack or a moving-head case fails before the show, every hour counts: as an express direct transport we collect replacement material at the warehouse and drive it to the venue without an intermediate stop – overnight, at the weekend, right across Europe. Give us the collection address, case dimensions and the deadline; the dispatch team confirms the realistic arrival time immediately. We also distribute part productions in parallel: while the articulated lorry carries the basic setup, a Sprinter brings the control technology straight to the FOH build.

Transports abroad and customs on tours

For productions outside the EU – such as in Türkiye, North Africa or the Gulf – we handle the complete customs clearance including the ATA Carnet for the temporary export of your equipment: the material travels out and back in duty-free, without import duties arising. You supply the material list with values and serial numbers, and we take care of clearance and border crossings. Costs depend on loading metres, lane and deadline pressure – your transparent fixed price is ready within a few hours.

Frequently asked questions: Sending Event Technology

Can you deliver event technology exactly to the load-in slot?

Yes. We coordinate the delivery with your production schedule and deliver to the agreed load-in time window at the venue – coordinated with the hall management or stage manager. As every shipment runs as direct transport with a firmly assigned vehicle, early-morning slots, night deliveries and Sunday deliveries are plannable too.

Do you collect the equipment again at night after the show?

Yes. Our dispatch team is available around the clock, and return collections straight after dismantling – at night or in the early morning too – are standard in the event business. By agreement, the vehicle waits on site for short events, so cases are loaded immediately after the load-out and driven back to the warehouse.

How are flight cases secured in the vehicle?

Cases are loaded upright and tight-fit, secured with lashing straps and load bars against slipping; the castors are locked. Sensitive consoles, optics and lamps stay in their case padding. Loading is via the vehicle's tail lift or the hall's loading ramp – additional transhipments are eliminated because the material drives through in the same vehicle.

What is an ATA Carnet and when do I need it for event technology?

The ATA Carnet is a customs document for temporary export: your equipment travels into non-EU countries such as Türkiye and back in without import duties becoming due. It is needed for productions outside the EU when the material comes back afterwards. We handle clearance and border formalities on the basis of your material list.

What does a transport of event technology to the venue cost?

The decisive factors are loading metres or case volume, distance, time window and any waiting times. A Sprinter direct transport with a few cases we calculate differently from an articulated lorry for the complete production; depending on lane and lead time we quote you a guide-value range and a binding fixed price within a few hours.

Can you deliver replacement material at short notice before the show starts?

Yes. In the event of failures we run replacement equipment as an express direct transport from the warehouse to the venue – collection usually within a few hours, journey without an intermediate stop, at night and at the weekend too. Give the dispatch team the collection address, case dimensions and your deadline; you receive a robust arrival time immediately.

Common mistakes when sending event technology – what should I watch out for?

If the driver lacks the contact, loading-point information and accreditation notes, the slot fails at the venue entrance. Likewise, the return collection after dismantling is not timed, although the hall has to be cleared. Speed Logistics briefs the driver in advance, secures flight cases upright with straps and load bars and plans delivery and return collection to the production schedule – at night too.

Why is express replenishment possible at short notice in the event of failures?

If an amp rack or a moving-head case fails before the show, Speed Logistics collects replacement material at the warehouse as an express direct transport and drives it to the venue without an intermediate stop – overnight, at the weekend, right across Europe. The 24/7 dispatch team takes the collection address, case dimensions and deadline and confirms a realistic arrival time immediately.
