Process: from the build-up slot to the return collection

Fair grounds work with registered time windows, entry permits and limited manoeuvring space. Our dispatch team registers the vehicle with the organiser or the ground logistics, plans buffer times for waiting zones and coordinates the handover with your stand-build team directly at the hall gate. After the fair ends we collect at the agreed strike slot – on request with the same vehicle and driver who already knows the goods. For roadshows we time several stations as a continuous tour – with one vehicle, one driver and one tour plan for all stations.

For stand builders and agencies with several projects in parallel we also handle the fine coordination between them: when material from the joinery, graphics from the print shop and technology from the warehouse have to come together at one stand, we bundle the collections into one tour and deliver everything in one time window – one vehicle at the hall gate instead of three.

Sensitive exhibits and high-value technology

Exhibits are often one-offs, event technology is shock-sensitive and expensive. We drive with a tail lift, secure cases, trusses and exhibits form-fit and use air-sprung vehicles for sensitive goods. High-value cargo stays in the locked load space with GPS tracking; the handover is documented to your team on site. Every shipment runs with CMR insurance, and for particularly valuable exhibits we set up extended value cover per shipment. Fairs abroad: ATA Carnet and customs clearance

For fairs and events outside the EU – such as in Türkiye, the Gulf states or North Africa – temporary export by ATA Carnet is usually the fastest way: stand material and exhibits leave and re-enter without import duties. We check with you whether ATA Carnet or another customs procedure fits, handle the complete processing at the borders and plan the transit times realistically into your fair calendar.

What is an ATA Carnet and when do I need it for a fair?

The ATA Carnet is an international customs document for temporary export: trade fair stand, exhibits and technology enter and re-leave non-EU countries without import duties arising. It is worthwhile for fairs such as in Türkiye or the Gulf states. Speed Logistics handles the processing at all borders.

Can heavy or sensitive exhibits also be transported?

Yes. Machines and one-offs we secure form-fit, sensitive goods drive air-sprung, and loading and unloading are carried out with a tail lift or coordinated crane/forklift provision on the ground. Vehicle sizes we dispatch from the van to the 40 t articulated truck – to suit exhibit weight and hall access. We document the condition at every handover.

Is an express top-up delivery during the running fair possible?

Yes. If a case, a spare part or promotional material is missing, we start an express direct transport usually within a few hours – at night or at the weekend too. We coordinate the delivery with the ground logistics so that the top-up reaches the stand despite the running fair operation.

Does Speed Logistics also drive multi-stage roadshows and event tours?

Yes. For roadshows we time all stations as a continuous tour with a dedicated vehicle and driver: build-up and strike windows per city, standing times and driving times are fixed in a tour plan. You receive a fixed price for the entire tour and the current location by GPS at any time.
